MyAIESEC.net has a soft side as well. Did you know that there are tools to help you in your personal development?
Remember the competency test you take to change stage? It is not only there to gather statistics for AIESEC International, it is there for your personal development. You can do a self evaluation of your competencies. You can also do a "360 degrees", this is when you ask at least 5 other people to rate your competencies. In this way, you find out what you think about yourself, and what others think about you. How well do you know yourself?
In this video, you will also get a run-through of all the things in your profile in MyAIESEC.net.

Add your EP form in MyAIESEC.net
It is a big day. It is time for you to add your Exchange Participant form in MyAIESEC.net. It is time for you to head out on an adventure. There will be times when you will think that everything about the internship is horrible and there will be times when you think that life could not be better. One thing is for sure, the internship will give you an experience that will last you a life time.
A few pieces of advice for an EP:
- Sell your self - why should anyone hire you? Show off your good sides, both in your EP form and in other contact you have with TN-managers
- Tell TN-managers what is relevant - What in your past experience makes you qualified for this internship?
- Stand out - a TN-manager can get hundreds of e-mails. What can you do differently for her/him to notice you
- Don't take it personal - You will send many e-mails that will not get any replies. You know what, it is OK. That will for sure happen. Just keep trying and you will find something.
- Put in some effort - Finding the internship for you will require some work. Be prepared to put in a bit of effort. Set goals for yourselves and contact many TN-managers.
- Answer all e-mails - What comes around goes around. Treat everyone the way you want to be treated
Check out the videos below to see how you can add your EP form!

Exchange test in MyAIESEC.net
In a way the exchange test separates the strong from the weak. By completing the exchange test you get access to the internship database and you can start doing what AIESEC is all about.
The exchange test is crucial for you who:
- are an EP (exchange participant) and want to find internships
- are working with selling to know what type of students we can offer the companies
- are working towards students, and want to know what types of internship we can offer them
- are doing matching of any kind
So, bascally, it is for all of you.
Below are some links to useful material that you can read before doing the test:

eSynergy - register or be registered...
So the time has come when all you new members have been recruited, and when the sales activity really should be getting up to high pace. For sales to be really effective it should be tracked, planned and managed through our eSynergy software.
If you are an EB member you should right now be making sure that all your members get accounts. One way is to ask them to visit this blog and watch the videos - the other way is to add the users yourself. Click here for an instruction on that!
So why should you use eSynergy? Well basically there are some important reasons:
First of all you need to be registered.. so if you are a new member, just check out the registration below:

As I said in the video the registration doesn't always
Once you got your account and password you need to learn how to use the system - we have lots of videos showing you how to use eSynergy - just check them out here!
If you are an experienced user looking to add new members simply follow the procedure in this video. It requires you to have the "HR" role in eSynergy, your LCP or one of the admins (me) can help you out with that.

Reporting in MSOA
When it comes to finances reporting is a key element. This is the way that we (as in the finance responsibles) and the others (as in everyone who has a stake in the organization) keeps track of what goes on inside the organization.
I have prepared a video on how to do monthly reporting in MSOA and also a quarterly update on how we are doing according to budget. I have an updated budget template that you can download here that will help you do this practically automatically.

eSynergy - Search it harder!
The fact that you can search and find companies in eSynergy makes it really powerful. For example, you can use the search to answer questions like
Another thing this video goes through are the different types for companies. We have 4 important types in AIESEC eSynergy: Not validated, Uncontaced, Conctaced, Visited. These will be updated automatically when you add activities and realize them. However the "not visited" type is a bit special, it is set when you import companies from Excel, and you need to update this yourself! The video will show you how.
For now, enjoy the video!

Tracking potential members with Google Docs
So, here is a post about another IS tool that is very useful but not one of the "usual ones".
I am going to show you a good tool to track sign-ups for induction, info meetings and interest in memberships. All the signups will get automatically stored in a spreadsheet that you can use then to track who actually attended the introduction meeting and make statistics. You can use this for many things, such as signing up for going on exchange, attending conferences or whatever.
See the video in fullscreen
To set it up go to http://docs.google.com and choose "Create new form". Then just add the fields you want and send it by email.
You can even add this form to your www.aiesec.org website, by choosing "More actions" and then "Embed" you will get a piece of HTML code that you can paste into a www.aiesec.org website (or on a blog). It will look like this:

Paying out (in MS Office Accounting)
This video shows how to handle invoices from your suppliers (like the MC or some other supplier) in Microsoft Office Accounting. It is very simple and you won't need to worry too much about getting the accounting right - the software does it for you.
In the example I pay an invoice from the MC for an internship that we realized. Maybe you receive invoices from other sources for new items? Well then simply create new "products" linked to the right account in the Chart of Accounts. Don't know which account to use? Check back here and with the other VPFs and we can develop a standard!
If you have any questions? Please post them here or e-mail me and I'll help you out.

Tracking galore (eSynergy)
Today I will show you how to do the most basic and most important thing in eSynergy - tracking your activities. The basic thing you will learn is how to add a new activity (such as a cold call or meeting) and how to create follow-up actions.
Once you have completed an activity, press Copy: New to create a new follow-up activity, then go back to the original activity and press either Realize or Reject. Realize should be used when you have completed an activity (reached the person you were trying to call, had the meeting) and Reject when the activity cannot be completed (meeting cancelled, person that you were trying to call quit and so on).
Once you get the hang of it - it can be really easy to track all your activities in eSynergy.

Sending invoices in MS accounting
This week I am going to cover a task that I hope you get to do a lot of - sending invoices. MS Office Accounting makes it real easy to work with invoicing and allows you to simply create invoices, associate them with a specific customer and then mark them as payed. All these operations will result in your books being kept - from the accounts receivable to all the proper accounts.

Getting to grips with eSynergy
This time I'm briefly going to show you the most basic feature of eSynergy - storing company data. This is one of the purposes why we have the system, basically to store data about contacts and companies so that they will be accessible to us and other generations of AIESEC:ers.
One important take-away point from this video though is that there is no point in storing incomplete data, therefore if you are going to use eSynergy try your outmost to provide all the data you can in the system. For later, this will mean that the data will be much more valuable to your successors or other users!
Just right-click the video and select Play to play the video.

Leaders in MyAIESEC.net
"If your actions inspire others to dream more, learn more, do more and become more, you are a leader." said John Quincy Adams, and Carro would like to add: "and the best way is by showing that you know MyAIESEC.net".
Well, OK, that might be a bit over-dramatized, but there is a pinch of truth in there. As a leader in your LC, you are the one who needs to show members the way in MyAIESEC.net, and the first thing you need to do is lead yourself and make sure you are in the right stage on MyAIESEC.net. Also, once you are there you will have access to things you do not want to miss out on.

It's all about the money - Introduction to MS Office Accounting
It's all about the money
It's all about the dum dum.......
Well it is isn't it? At least I think that if you don't manage your money well, then all the other things you do in AIESEC will kind of come to waste. That's why I'm working in the National Support Team to try to create initiatives to improve our financial practices. One such initiative is try to update the use of accounting software as most of our LCs are using different or outdated software right now.
This post is focused towards VPFs but can also be useful for LCPs who want to know a bit more about how to use the accounting software (or project managers/OCPs for that matter!).
Microsoft Office Accounting Express is a free software that handles your accounting and invoicing real easy. In this first video I'll introduce it and also show how you'll set up your LC from the template I prepared.
See the video in fullscreen.
To Download MS Office Accounting Express now go click here. To get the template for an LC as well as importing our Products, Customer and Suppliers (as show in the video) click here.
When you use the ImporSuppliers, ImportCustomers and ImportProducts remember to do them in this order: Suppliers, Customers, Products!
And once you're done with all this, it's time to sit back and relax.

(Re)Introducing our CRM: eSynergy
So... at the IS blog we begin from the beginning, back to the basics and build from the ground up and all that. Therefore the first post will be a very, very light introduction to a lovechild of ours called eSynergy.
Ok, so I hear some in the audience sighing already, but don't worry - this year, it's all going to work much better. Give it a chance and follow our videos and you'll hopefully be up and running and working effectively in eSynergy in no-time
This first video might be a bit basic, but follow it through and make sure that you can login (EVEN if you have used eSynergy before) to system. If you can't login, then just leave us a comment and we'll help you out!
See the video in fullscreen
The link to the system is here: http://esynergy.aiesec.se and if you don't have an account yet - please register here (note: you're LCP will need to approve you!)!

Welcome to the IS Blog - Introduction
Hey! You probably got a mail to check this blog out, and I guess a little introduction would be good. The idea of this blog is to share some video clips and other useful material to help AIESEC Sweden (you !) to develop the usage of the many and good information systems (IS) that we have.
We started it to help share, in the best way possible, best practices, good ideas and basic usage materials so that you can refer back to it when you are at home, actually trying to use (and hopefully succeeding) the tools we have.
We figured that it would be good for you to get to know the people who are working on this blog - that is, Linus and Carolin - a bit so we recorded some introductions, also if you say hi to us in the comments we will be really happy :)
Gosh, it always makes you self-concious to see yourself on video like that... Now remember to check back here regularly as we will try to have updates for you every week on new things and features.
